Policy Statement Email is a mechanism for official communication within the Lake Michigan College (the College) community and is to be used to meet the administrative and academic needs of the College.
Assignment of Employee and Adjunct Email
All employees and adjunct faculty must obtain an official College email account. The College has the right to expect that email communications will be received and read in a timely fashion.
Educational Uses of Email
Faculty will determine how electronic forms of communication such as email will be used in their classes and will specify their requirements in the course syllabus. These specific requirements will ensure that all students will be able to comply with emailbased course requisites detailed by faculty.
Faculty may make the assumption that students' official email@example.com accounts are being accessed, and faculty can use email for their classes accordingly.
Assignment of Student Email
Official College email accounts are available for all enrolled students. The addresses are all of the form firstname.lastname@example.org. These accounts must be activated before the College can correspond with students using the official email accounts.
Official email address will be included directory information, although, as with other directory information, any student may request that official email address be restricted in access. Student email accounts will remain active for one year from the end date of the last term attended.
Users should exercise extreme caution in using email to communicate confidential or sensitive matters, and should not assume that email is private and confidential.
It is especially important that users are careful to send messages only to the intended recipients. Particular care should be taken when using the "reply" command during email correspondence.
All email correspondence conducted using College resources are part of the College email system and property of the College. In instances of alleged violation of College policies or procedures e-mail messages may be retrieved.
The College characterizes as unethical and unacceptable and just cause for disciplinary or legal action, according to the Student Handbook and other policies, the following:
- Use of College email systems for private business, product advertisement or political lobbying
- Copyright infringement
- Email that alters, dismantles, or disfigures messages so as to hide originator or disguise originator of the message
- Use of College email systems to transport personal identifying information such as social security numbers, credit card data and other sensitive data
- Transmitting or making accessible offensive jokes, threats or harassing material
- Broadcasting unsolicited messages (SPAM) or sending mass emails
