Conference and Event Services - Terms and Conditions
Guidelines
Function Space and Guarantee
-
Conference and Event Services (C&ES) reserves
the right to assign a group to suitable space based on the
estimated attendance, audiovisual needs and the availability
of suitable space.

C&ES reserves the right to refuse any
booking it considers inappropriate or inconsistent with the
values, well being and mission of Lake Michigan College (LMC).

Minimum charges as stated in the catering
guide will be applied.
-
The guarantee must be received 96 hours (4
working days) prior to the event. C&ES will provide for
5% above the designated guarantee not to exceed ten (10) in
number.
-
Standard access is thirty (30) minutes prior
to the event. Events requiring early access must be made by
special arrangement.

A reservation deposit equal to 25% of the
estimated total is required at time the contract is signed.
Another 25% is due 90 days prior to the event. A final 25%
is due 30 days prior. Final payment is due 10 days from receipt
of the final invoice.

The charges set forth in the agreement are
based upon current market conditions and are subject to change.

The client is responsible for expenses incurred
for the storage of merchandise, exhibits, and decorations
shipped to and stored by C&ES.
Food and Beverage Service
-
All food and beverages must be supplied by
C&ES.
-
All event requirements should be confirmed
14 days prior to the function date.
Licenses and Insurance
-
The client is required to comply with and
acquire any and all applicable federal, state and local permits
or licenses required.

C&ES assumes no liability for the damage
to or loss of, any merchandise or articles left prior to,
during or following an event.

The client is required to provide proof of
insurance as outlined in the Procedures and Guidelines for
C&ES.

Alcoholic beverages, mixers and soft drinks
must be supplied by C&ES.
-
C&ES will comply with and enforce the
liquor control policies of the State of Michigan. LMC will
refuse service of alcoholic beverages to minors under the
legal drinking age or to anyone it believes is intoxicated
or is displaying intoxicated behavior. The determination to
refuse service is solely up to C&ES.
Decorations, Clean Up, and Safety
-
All decorations most comply with established
fire and safety codes. The client is responsible for the removal
of decorations and rental items by the end of the contract
time. C&ES reserves the right to access a service fee
for any unusual clean up or for the removal of excessive trash.

No open fires or explosive materials may be
used in or on the grounds of any LMC campus without prior
permission.
-
Free-floating helium balloons are not permitted
in any building at LMC. C&ES does not allow glitter, stars,
confetti or any other small objects. Potentially damaging
fasteners may not be used to secure any material to the walls
or floors of any LMC buildings.

In the interest of public safety and the
protection of the facilities and equipment, C&ES has the
right to interrupt or terminate any event.

In circumstances beyond its control, LMC and
C&ES not are liable for the cancellation of an event.
-
Cancellation of any event less than 180 days
prior to the scheduled date by the client will result in the
forfeit of the deposit. Cancellation of an event less than
60 days prior to the scheduled date by the client will result
in a cancellation fee equal to 50% of the anticipated billing.
If another group utilizes the space, the cancellation fee
may be pro-rated or waived. This determination will be made
solely by C&ES.
Parking, Security and Special Services
-
Parking restrictions and reserved areas must
be observed at all times. Overnight parking is prohibited
unless special permission is given.

C&ES is responsible for the operation
of any audio/visual equipment belonging to LMC.
-
C&ES reserves the right, to contract for
professional security to monitor any function. The fee for
the contracted amount will be the responsibility of the function
or event.

The client assumes full responsibility for
all cost, direct and indirect associated with the delivery
of the event.
-
The client and their guest agree to hold harmless,
LMC, its trustees, employees, officers or agents from any
and all claims, demands judgments or liabilities arising out
of the use or lease of the College premises.
